Short Term Hire

Can I hire if I have points on my License?

It really depends what the points are for and how long ago you received them. For example it is likely that a single speeding offence over 4 years old would be no problem whereas a drink driving offence in the last 5 years would be. Please make sure you contact the renting branch to discuss ANY endorsements before you collect your rental vehicle.

Can I hire if I am under 21 years of age or older than 70 years?

It is highly unlikely that we would be able to obtain insurance for drivers under 21, however as branches have different policies it is worth checking with the branch from which you wish to hire. Many branches are able to cover drivers over 70 years of age if they have a valid licence and are still driving on a regular basis, however; once again do check with your renting branch prior to collection.

Can I use my own insurance?

If you have a fully comprehensive company policy we may be able to cover our hire vehicle under your own insurance, please confirm with your renting branch prior to collection. If your policy is a private insurance policy it will be necessary to obtain various confirmations, authorisations and undertakings which often incur a charge and may affect your future premium. For this reason we recommend using our own specialist rental policy included in the rental rate quoted.

Is the insurance in the rate fully inclusive?

Included in your rental rate is insurance under our fully comprehensive vehicle rental insurance policy. There are policy excesses and restrictions which apply, details of which will be on your rental agreement and can be discussed with your renting branch.

Can I take the vehicle abroad?

The price that has been quoted to you includes travel within mainland UK; the vehicle may not be taken abroad without the prior consent of the renting branch. Many locations have the facility to arrange travel into Europe and would be happy to discuss your travel requirements, please contact your renting branch for details.

Can I pay with cash?

In most cases the rental and deposit must be paid by credit or debit card. In some situations the renting branch may accept another method of payment. Please check with your renting branch prior to collection.

What deposit do I need to pay?

Your deposit is likely to be the equivalent of the insurance excess. As the amount differs between groups and locations your renting branch will confirm the deposit amount on your reservation confirmation prior to your collection of the vehicle.

When is the deposit refunded onto my credit/debit card?

If the vehicle has been returned in the same condition as when rented, the renting branch will refund your deposit on the day that the vehicle is returned and checked by rental staff. Your receiving bank may take some time to process the refund which can take up to 10 days.

What happens if I do not bring the vehicle back on time?

If you wish to extend the rental you must contact your renting branch prior to the return time in order that the rental contract can be extended to cover the additional time. Rental staff will work with you to accommodate delays but additional rental costs may be incurred. Failure to return the vehicle on time or to inform the renting branch will impact upon the insurance cover provided under the rental agreement.

Can more than one person drive?

Only drivers authorised by the renting branch and noted on the rental agreement may drive the rental vehicle. Numerous additional drivers can be added to the agreement. An insurance premium will be required as will prior consent from the renting branch. Each driver will be required to provide documentation and undergo the same insurance checks as the main driver.

How do I cancel or amend my booking?

Any changes to or cancelation of bookings must be made directly with your renting branch.

How do I contact my renting branch?

The telephone number and e-mail address of your renting branch is provided on the reservation request or reservation confirmation e-mailed to you at the point of booking.

Long Term Hire

How do I order a vehicle?

For the initial vehicle we will send you a Master Lease Agreement and a Direct Debit Mandate (Payment by DD is mandatory). Once these are in place, subsequent orders or vehicles replacements can be dealt with by a simple fax order that we will prepare.

Who is this offer open to?

All creditworthy corporate bodies, including partnerships, Ltd companies and PLC’s, as well as charitable and government bodies

How are the vehicle payments made?

You will be direct debited the deposit amount (A months rental cost) together with the first months rental three days prior to delivery. In subsequent months you will receive a month’s invoice from us by E Mail early in the month. Payment for these invoices is taken on the 15th of the month. All payment details are listed in a lease schedule that you will be provided to you at the start of the hire.

What does the contract price include?

All prices include delivery to and collection from any UK mainland address, vehicle maintenance & tyres (subject to fair wear and tear), breakdown, recovery road fund tax and first registration fee. There is also an inclusive mileage allowance of 2,000 miles per month.

What does the contract price exclude?

Prices exclude VAT, and vehicle insurance. Fully comprehensive insurance is mandatory.

How long until my vehicle is delivered?

Fleet4Hire will be able to advise you when placing your order how long it will take to be delivered. Many of our vehicles are in stock and take between 5-10 working days to get to you.

What if I exceed the inclusive mileage?

The excess mileage rates and penalties are detailed on the vehicle order form and on the fleet4hire.co.uk website, along with the lease schedule that is sent out to you after delivery. Please contact Fleet4Hire if you need further clarification.

What about servicing and repairs?

Our vehicles are covered by the manufacturer's warranty. Routine servicing and replacement tyres are included in the lease costs, and you will be supplied with a fleet card on delivery. All our vehicles are covered by fleet management from CLM Fleet Management PLC, including a 24/7 call centre in case of emergency. Please note that tyre replacements caused by punctures and accident damage are not included.

What happens if the vehicle breaks down?

In the event of a breakdown please contact CLM on 01908 216100 and they will organise recovery and repair for you, including a replacement vehicle if appropriate. This service is available 24 hours a day, 7 days a week.

Can I extend a vehicle’s rental term at the end of the hire?

If you are awaiting a replacement supplied by us at the end of your lease we will endeavour to extend your vehicle until your next one is delivered to you. Please contact Fleet4Hire for advice of new vehicle delivery times. In all other circumstances extension is at our discretion.

Who is responsible for insurance?

The vehicle must be insured fully comprehensively by the Customer, an insurance certificate will be required as part of the application process.

Can I end the lease early?

Yes, but you will still be liable for the balance of the cost of the hire.

What if I want a replacement vehicle at the end of the contract?

Fleet4Hire will contact you a month before your vehicle is due to be de-fleeted to confirm the termination date and to organise you a replacement, if required.
